Fulham Gymnastics – Terms and Conditions for Participation
PLEASE READ THESE TERMS AND CONDITIONS CAREFULLY. AGREEMENT TO THESE TERMS IS A CONDITION OF PARTICIPATION IN ANY FULHAM GYMNASTICS ACTIVITIES.
1. Introduction
1.1. These Terms and Conditions (“Terms”) govern your child’s (“Participant”) participation in any programmes, classes, squad training, camps, events, displays, or other activities (“Activities”) offered by Fulham Gymnastics (“the Club”, “we”, “us”, or “our”).
1.2. By registering, signing any Club documentation, paying fees, or otherwise indicating acceptance (“Acceptance”), you confirm that you have read, understood, and agree to be bound by these Terms and all related Club policies, including Codes of Conduct.
1.3. The Club reserves the right to update these Terms from time to time. Significant changes will be communicated to Guardians via email or our official website. Continued participation after updates are published constitutes acceptance of the revised Terms.
1.4. The Club reserves the right to make reasonable changes to class times, coaching staff, venues, groupings, and programme structure where required for safety, staffing, venue constraints, or operational reasons.
2. Acknowledgement of Risk
2.1. The parent or legal guardian (“Guardian”) acknowledges that gymnastics is a physical activity with inherent risks. Injuries may range from minor (bruises, sprains, strains) to more serious injuries including fractures, concussion, paralysis, or in rare cases, death.
2.2. The Guardian voluntarily accepts and assumes all risks associated with the Participant’s involvement in the Activities.
2.3. The Club takes reasonable steps to manage risk through qualified coaching, appropriate equipment, progressions, and safety rules, but cannot eliminate all risks.
3. Medical Information and Emergency Treatment
3.1. The Guardian confirms that the Participant is medically fit to participate and has disclosed all relevant medical conditions, allergies, medications, injuries, or additional needs at registration. The Guardian agrees to notify the Club promptly in writing of any changes.
3.2. In the event of illness or injury during Activities where the Guardian cannot be contacted immediately, the Guardian authorises the Club and its staff to administer first aid and to obtain emergency medical treatment as deemed necessary (including ambulance transport and hospital care).
3.3. The Guardian agrees to be responsible for any associated medical or transport costs, except where required by law or covered by applicable insurance.
3.4. Participants who are unwell (e.g., fever, vomiting, diarrhoea, or contagious illness) must not attend sessions until fully recovered.
4. Compliance, Behaviour, and Safety Rules
4.1. Participants and Guardians must strictly follow all safety rules, instructions, and procedures communicated by coaches or staff.
4.2. Inappropriate, disruptive, or unsafe behaviour may result in immediate removal from the class, suspension, or permanent exclusion, without entitlement to a refund. Coaches reserve the right to sideline any Participant who fails to follow safety instructions.
4.3. Parents and Guardians must not coach, instruct, or interfere with sessions. Any concerns should be raised with staff outside of session time.
5. Fees, Renewals, and Place Security
5.1. Fees are published by the Club and must be paid by the stated deadlines.
5.2. Places are secured only once payment has been received. If renewal deadlines are missed, the Participant’s place is not guaranteed and may be released to the waiting list. Previous attendance does not guarantee a place in future terms.
6. Missed Classes, Cancellations, and Refunds
6.1. Missed Sessions: Fulham Gymnastics does not offer refunds or make-up classes for sessions missed due to holidays, personal scheduling conflicts, minor illness, school commitments, or injuries sustained outside the Club.
6.2. Injury Within the Club: Where a significant injury occurs during supervised Club Activities that prevents participation for an extended period, the Club may, at its discretion, offer a non-transferable credit as a gesture of goodwill.
6.3. Club Cancellations: Fulham Gymnastics reserves the right to cancel or modify Activities due to facility issues, weather, or operational reasons. In cases of prolonged cancellations, alternatives or refunds/credits will be communicated where appropriate.
7. Clothing and Equipment
7.1. Participants must wear appropriate athletic attire suitable for gymnastics.
7.2. Clothing must be free from zips, buckles, belts, hoods, or heavy embellishments. Skirts and jeans are strictly prohibited.
7.3. Long hair must be tied back securely. All jewellery and watches must be removed prior to participation. Medical or religious exceptions must be agreed upon in advance.
8. Arrival, Departure, and Pick-up Policy
8.1. Timeliness: Guardians are responsible for ensuring Participants arrive on time and are collected promptly. Participants arriving more than 15 minutes late may be refused entry for safety and structural reasons.
8.2. Below Year 7: For children below Year 7, a Guardian or authorised adult must escort the child to the entrance of the facility and ensure timely collection immediately after the session concludes.
8.3. Year 7 and Above: Children in Year 7 and above may be permitted to leave unaccompanied only if explicit written permission is provided by the Guardian.
8.4. Authorised Collection: We will only release a child to an individual previously identified by the Guardian. If someone else is collecting your child, you must inform a staff member in advance.
9. Observation Policy
9.1. To maintain a focused training environment and align with safeguarding policies, parents and Guardians are not permitted to remain on-site or in the gym during regular classes.
9.2. Fulham Gymnastics hosts a designated “watching week” at the end of each term where parents and Guardians are invited to observe. Details will be communicated in advance.
10. Photography and Video Consent
10.1. By opting in during registration, you grant Fulham Gymnastics permission to photograph or film your child during Activities for coaching or promotional purposes.
10.2. Promotional use may include the Club website, social media, newsletters, and printed materials. All media is handled respectfully and in accordance with safeguarding policies.
10.3. Parents and Guardians must not take photos or videos during sessions (including through doors/windows) unless explicitly permitted during designated watching weeks.
11. Data Protection, Communication, and Marketing
11.1. Data Collection: The Club processes personal data (names, contact details, medical info) securely and solely for legitimate Club interests (registration, safety, administration) in compliance with UK GDPR.
11.2. Essential Communications: By accepting these Terms, you agree to receive essential communications relating to fees, schedules, renewals, and safety updates via email, phone, or SMS.
11.3. Marketing & Affiliates: You authorise Fulham Gymnastics to send occasional promotional communications regarding classes, camps, or events offered by us or our affiliated clubs (including SWL Gymnastics, Apex Gymnastics, and Mayfield Gymnastics).
11.4. Opting Out: You may opt out of non-essential marketing at any time via the unsubscribe link in our emails or by contacting Management@fulhamgymnastics.co.uk. Opting out will not affect essential communications. Fulham Gymnastics will never sell your personal data to external parties.
12. Safeguarding and Welfare
12.1. Fulham Gymnastics is committed to providing a safe, positive environment and follows safeguarding best practices in line with UK law.
12.2. The Club has a designated Welfare Officer. If you have a safeguarding concern about any child or adult connected to the Club, you must report it to the Welfare Officer or a senior staff member immediately.
12.3. The Club may share safeguarding information with relevant authorities (police, local authority) where legally appropriate.
13. Venue Rules, Changing Rooms, and Lost Property
13.1. Venues & Dogs: All third-party venue rules must be followed. The Club is not responsible for supervision outside the training area (corridors, car parks). Dogs are not permitted indoors unless acting as an assistance dog.
13.2. Changing Rooms: Adult male parents/guardians may not enter female changing rooms, and adult female parents/guardians may not enter male changing rooms. Young children may use any changing room when needed for practicality and safeguarding under Guardian judgement.
13.3. Lost Property: The Club accepts no responsibility for loss, theft, or damage to personal belongings. Lost property is retained for a limited period before disposal.
14. Liability Release
14.1. To the fullest extent permitted by law, Fulham Gymnastics, its directors, staff, and volunteers are not liable for loss, damage, or injury arising from participation in Activities.
14.2. Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence or for any liability that cannot be excluded under the laws of England and Wales.
15. Governing Law and Entire Agreement
15.1. These Terms are governed by the laws of England and Wales and are subject to the exclusive jurisdiction of its courts.
15.2. These Terms, alongside any referenced policies, constitute the entire agreement between the Guardian and Fulham Gymnastics. No modification shall be valid unless agreed upon in writing by an authorised representative of the Club.
